This policy explains what personal information LynxHarbor Hospitality Ltd collects when you use this website or stay with us, why we collect it, and what you can do about it. We follow the New Zealand Privacy Act 2020 and its information privacy principles.

Who we are

What we collect, and why
We only collect what we need for a genuine purpose connected to running a hotel. That means:
- When you send an enquiry: your name, email address, phone number if you give it, the dates and type of stay you are asking about, and anything you write in the message. We use this to answer you and to arrange your booking. Without it we cannot reply.
- When you sign up for our news: your name and email address, used only to send you what you asked for.
- When you stay with us: the details needed to check you in, take payment and meet our obligations as an accommodation provider, including any accessibility or dietary needs you choose to share.
- When you visit this website: if you agree to it, information about which pages you look at and how you arrived. This is covered in our Cookie Policy, and it is switched off unless you turn it on.
We collect this information directly from you wherever we can. If we ever get it from somewhere else — a travel agent making a booking on your behalf, for example — we will tell you.
We do not sell your information. We do not trade or rent it to anyone.
Being told what we are doing
Whenever we ask you for personal information, we will make clear why we want it, what we will do with it, whether you have to give it, and who will hold it. That is what this policy is for, and our forms say the same thing at the point of asking.
How long we keep it
Enquiries that do not become bookings are deleted after twelve months. Booking and payment records are kept for seven years because tax law requires it. If you sign up for our news, we keep your address until you unsubscribe. We do not keep anything longer than we have a reason to.
Who else sees it
Only people who need it: our own staff, our booking and payment providers, and our email provider. Everyone we use is bound to protect it and to use it only for the job we gave them.
We will also release information if the law requires it — for example a lawful request from a public agency — or where it is needed to prevent a serious threat to someone's health or safety.
Information sent overseas
Some of the services we rely on store information outside New Zealand, including in the United States and Australia. That applies to our email provider and, if you have agreed to analytics or marketing cookies, to Google.
Before we send personal information overseas we satisfy ourselves that it will be protected by safeguards comparable to those in New Zealand law, as the Privacy Act 2020 requires. If you would rather your information was not handled this way, tell us and we will discuss the options with you.

Keeping it safe
This website is served over an encrypted connection. Access to guest records is limited to staff who need it for their work, and is protected by individual accounts. We review these arrangements regularly.
If something goes wrong
If personal information is lost or accessed without authorisation, and it is likely to cause you serious harm, we will tell you and we will notify the Office of the Privacy Commissioner. This is a legal duty under the Privacy Act 2020, and we would want to do it regardless.
Seeing and correcting what we hold
You have the right to ask us what personal information we hold about you, and to see it. You also have the right to ask us to correct anything that is wrong.
Write to [email protected]. We will confirm your identity, then respond within twenty working days, which is the limit the law sets. There is no charge.
If we decline to correct something, you can ask us to attach a statement of the correction you sought, and we will keep it with the record.
Marketing email
We only send news and offers to people who asked for them. The box is never ticked in advance — you have to tick it yourself. Every email we send has an unsubscribe link, and we act on it immediately.
If you are unhappy
Please tell us first: [email protected]. Most things are easily sorted out.
You can also complain to the Office of the Privacy Commissioner at any time. They are independent of us and their service is free: privacy.org.nz, or 0800 803 909.
Changes to this policy
If we change this policy we will update the date at the top. If the change is significant, we will say so on this page.
